• Application and enquiry data — name, email address, phone number, property suburb, property type, current management status, preferred go-live timeframe, and any details you provide in the message field of our application form.
• Communication records — emails, calls, and messages you send us directly.
• Property management data — if you become a managed client, we collect property details, financial data, booking records, and related operational information necessary to deliver our services.

We do not collect sensitive information (as defined under the Privacy Act) unless required for a specific purpose and with your explicit consent.

3. How We Collect Information

We collect information:

• Directly from you, when you submit our application form, send an email, or call us.
• Through our website hosting provider, Cloudflare, which may collect anonymised technical data such as page views and approximate geographic region. Cloudflare Web Analytics does not use cookies and does not collect personally identifiable information.
• Through Formspree, the form processing service that receives and forwards your application form submissions to us. Formspree acts as a data processor on our behalf. Their privacy policy is available at formspree.io/legal/privacy-policy.

4. How We Use Your Information

We use personal information to:

• Assess your property management application and respond within one business day.
• Communicate with you about your enquiry, application, or ongoing management relationship.
• Provide, improve, and administer short-term rental management services.
• Meet legal and contractual obligations.

We do not use your information for unsolicited marketing and we do not sell, rent, or trade your personal information to third parties.

5. Disclosure of Information

We may share your personal information with:

• Formspree Inc. — for secure transmission of form submissions.
• Cloudflare Inc. — for website hosting and anonymised web analytics.
• Guesty Inc. — our property management platform, if you become a managed client. Guesty processes booking, calendar, and financial data on our behalf.
• Booking platforms (Airbnb, Booking.com, and others) — as required to list and manage your property.
• Legal or regulatory bodies — where required by law.

We require all third parties to handle your personal information in a manner consistent with Australian privacy law.

6. Data Storage and Security

Personal information you submit via the application form is transmitted to us via Formspree and is not stored on our website. We store client records and communications securely using industry-standard measures.

While we take reasonable precautions, no internet transmission is completely secure. We cannot guarantee the absolute security of information transmitted to us online.

7. Retention

We retain personal information for as long as necessary to fulfil the purpose for which it was collected, or as required by law. Application data for unsuccessful enquiries is retained for a reasonable period and then securely deleted. Client records are retained for a minimum of seven years following the end of a management engagement, as required for financial record-keeping under Australian law.

8. Cookies and Tracking

Our website does not use cookies for tracking or advertising. Cloudflare Web Analytics, if enabled, collects anonymised aggregate data (page views, geographic region, device type) without setting cookies or creating user profiles. No personally identifiable information is collected through our analytics.

9. Your Rights

Under the Australian Privacy Principles, you have the right to:

• Request access to the personal information we hold about you.
• Request correction of inaccurate or out-of-date information.
• Request deletion of your information, where we are not legally required to retain it.
• Complain about a breach of the APPs.
